Terms & Conditions

1. Introduction

Welcome to BIBIVOX Speech Pathology. By engaging my services, you agree to the following terms and conditions. These terms are set in accordance with Speech Pathology Australia’s professional standards and ensure a transparent and respectful relationship between clients and the practice. If you have any questions, please contact me directly at hilana@bibivox.com.

2. Services Provided

BIBIVOX Speech Pathology offers professional speech therapy services tailored to the individual needs of each client. I work with clients of all ages to support communication goals and goals within the scope of speech pathology.

3. Appointment Scheduling

Appointments are scheduled by mutual agreement between the client and myself. I strive to accommodate your preferred times and dates but may adjust schedules based on my availability.

4. Cancellations and Rescheduling

To ensure a fair and efficient practice for all clients, and respect for my time, I ask for a notice period pf at least 48 hours should you need to cancel or reschedule an appointment. This allows me the opportunity to offer the appointment to other clients that may be waiting for an available spot.

  • Cancellations with less than 48 hours notice: Please note that if you cancel an appointment within 48 hours of the scheduled time, a cancellation fee of 100% of the session fee will be charged. This is in the event that you are not able to reschedule the appointment within the same week.

  • Rescheduling an appointment: If you wish to reschedule an appointment, please let me know within 24 hours. If rescheduling is not possible within the same week or as an additional session, the full cancellation fee will apply.

5. Cancellation Fees

If an appointment is cancelled within 48 hours of the scheduled session, or if we are unable to reschedule within the same week / provide an alternative session, the cancellation fee of 100% of the session fee will apply. This fee is charged due to the limited availability of appointment slots and the preparation time required for each session.

6. Late Arrivals

If you arrive late to an appointment, I will still endeavour to provide as much service as possible within the remaining time. However, late arrivals may result in a reduced session time and no reduction in the session fee.

7. Payments

Payments for services are due at the time of the session, unless otherwise stated on your invoice. Please ensure where you can that payment is made on time (or by the indicated deadline). I accept payments via bank transfer, credit card or direct debit. If you wish to make payments by card or via direct debit, please let me know. Receipts will be provided for all payments. If your funds are NDIS plan-managed, all invoices and receipts will be issued to your nominated plan manager.

8. Confidentiality and Privacy

All client information and therapy records are confidential and will only be shared with third parties if authorised by the client or as required by law. BIBIVOX complies with the Australian Privacy Principles under the Privacy Act 1988 (Cth).

9. Insurance and Medicare

If you are eligible for Medicare or private health insurance rebates, I will provide you with the necessary receipts with relevant item codes for claiming purposes. If you are accessing sessions via GPCDMP (GP Chronic Disease Management Plan), BIBIVOX will send your claims to Medicare for processing. For private health fund claims, this service is not yet available.
